Implementation and onboarding

Moving a practice across without stopping the billing

An individual anaesthetist can be operating in under ten minutes. A group with existing accounts, multiple providers and historical data is a different exercise, and is run as a structured implementation.

Two different exercises

Onboarding an individual anaesthetist is genuinely quick, because there is one provider, one set of billing rules and no legacy data to preserve.

A group is not that. There are open accounts mid-lifecycle, providers with established fee positions, staff whose daily work is about to change, and historical records that have to remain accessible. The stages below exist because skipping them is how implementations fail.

No implementation timeframe is published for group or enterprise migrations, and none is stated here. Duration is scoped during discovery.

The pathway

Ten stages from first conversation to ongoing review

  1. Discovery

Establish how the practice bills today, what is working, and what the migration actually has to preserve.

    Owner: Anaemate with practice leadership

    • Current billing workflow and systems
    • Provider structure and entity arrangement
    • Volume, case mix and payer profile
    • Where accounts are currently being lost
  2. Workflow review

Map the intended workflow before configuring anything, including where it will differ from current practice.

    Owner: Practice manager with Anaemate

    • Capture method by provider
    • Billing policy and permitted variation
    • Patient communication approach
    • Approval and exception handling
  3. Configuration

Build the practice environment — providers, rules, templates, permissions and payment arrangements.

    Owner: Anaemate

    • Provider numbers and user accounts
    • Billing rules and fee positions
    • Communication and consent templates
    • Roles, permissions and banking configuration
  4. Data preparation

Determine what historical data moves, what is archived, and how both systems behave during transition.

    Owner: Practice with Anaemate

    • Scope of historical records to migrate
    • Open accounts and work in progress
    • Archive arrangements for the legacy system
    • Source system and export format review
  5. Testing

Validate the configuration against real cases before any live billing depends on it.

    Owner: Practice with Anaemate

    • Test cases through capture, quote and claim
    • Confirm rules produce expected fees
    • Verify patient communications
    • Confirm reporting outputs
  6. Team training

Train by role rather than delivering one session to everyone, because the roles use different surfaces.

    Owner: Anaemate

    • Anaesthetists — capture and review on mobile
    • Billing staff — queues, exceptions and follow-up
    • Practice managers — administration and reporting
    • Directors — group reporting and policy
  7. Phased rollout

Stage the transition so that an issue affects one group rather than the whole practice.

    Owner: Practice with Anaemate

    • Pilot with a subset of providers or a single site
    • Review and adjust configuration
    • Extend to remaining providers
    • Phasing agreed against your theatre commitments
  8. Go-live

Move live billing across, with the legacy system available for reference during the changeover.

    Owner: Anaemate with practice

    • Live capture and claiming
    • Monitoring of first claims and payments
    • Rapid response to configuration issues
  9. Adoption support

Confirm the workflow is being used as designed, rather than assuming it because the system is live.

    Owner: Anaemate

    • Capture rates by provider
    • Exception and rejection volumes
    • Outstanding account trends
    • Additional training where usage indicates a gap
  10. Ongoing review

Periodic review of configuration and performance as the practice changes.

    Owner: Anaemate with practice

    • Billing rule review
    • New provider onboarding
    • Reporting and policy adjustments
    • Periodic configuration and performance review

Individual onboarding

Under ten minutes, no setup fee

Download the app, set up your profile, configure your billing rules, and begin capturing cases. There is no migration step because there is nothing to migrate.

Group onboarding

Scoped, configured and phased

Provider setup, billing policy, permissions, templates, payment configuration and data migration are established before any provider goes live, then rolled out in stages.

Next step

Scope an implementation

Discovery is the first stage and costs nothing to begin. It establishes what a migration would actually involve for your practice.
