Answers about the platform, billing and payments

Grouped by subject. Where an answer depends on information that has not been confirmed, it is marked rather than guessed.

01

Platform

What is Anaemate?

Anaemate is an anaesthetic billing and practice administration platform built for Australian anaesthetists. It connects procedure capture, patient quoting and consent, claiming to Medicare and health funds, patient payment collection, reconciliation and reporting in one system, with a mobile app for doctors and a web portal for administration.

What reporting is available?

Anaemate reports total earnings and hourly rate by surgeon, list or date, along with procedure volume and outstanding accounts. The Insights analytics tool is included with Anaemate Premium and Anaemate Groups.

02

Billing

How does sticker recognition work?

You photograph a patient sticker with your phone camera. Anaemate reads the details, confirms eligibility and starts the billing record, so patient details are not re-keyed by hand. Theatre lists can be imported the same way to create multiple records at once.

What are billing rules and what can they control?

Billing rules let you define how a case is priced before it reaches the billing step. You can set a unit value, a gap fee or a total fee, and apply it to a whole list or to an individual case. Rules are applied consistently, which reduces case-by-case decisions and keeps pricing predictable across a practice.

Can claims be submitted on the day of the procedure?

Yes. Because the record is created at the point of care and the billing rules are already configured, a claim can be prepared and submitted the same day rather than waiting for paperwork to reach a billing agent.

Which payers are supported?

Medicare and private health funds through ECLIPSE, along with workers’ compensation, DVA and defence claims. Public-in-private claiming is also supported, charged at 1% plus GST.

How does Anaemate handle informed financial consent?

Anaemate generates an estimate from the patient’s fund or payer type, the item numbers selected and your billing rules, then sends it to the patient with wording that explains why an anaesthetic fee cannot always be presented as a fixed cost before surgery. The estimate, the consent and the communication history are retained against the patient record.

03

Payments

How can patients pay?

By bank transfer, which is free, or by credit card, which carries an additional fee met by the patient. If a procedure is cancelled or an account is refunded, card transaction fees are not recoverable from the payments provider.

What happens to overdue accounts?

Overdue amounts are followed up rather than left to age. Where an account becomes a bad debt, Anaemate advises on the options for recovery.

Does Anaemate reconcile payments?

Yes. Accounts reconciliation is included, along with BAS and end-of-financial-year reporting, so that amounts billed, amounts received and amounts outstanding remain distinct and visible.

04

Groups

How does Anaemate work for a group?

Anaemate Groups provides a dedicated group environment with a mobile app for doctors and an administration web portal for staff. It supports advanced calendar management, automated SMS and email, dedicated or per-doctor bank account setups, handover functions, all ECLIPSE claim types and group-level billing reports.

Can payments go into our own bank account?

Yes, on Anaemate Premium and on Anaemate Groups. Groups can be configured with dedicated bank accounts or with a per-doctor setup.

05

Security

How is patient data protected?

Anaemate handles health information regulated under the Privacy Act 1988 and the Australian Privacy Principles. The security page sets out each control area — access and authentication, encryption, audit logging, retention, backup and continuity, incident management and vendor governance — and is written for practice managers, privacy officers and enterprise security reviewers. Detailed evidence is provided directly on request.

06

Getting started

How long does it take to get started?

The published onboarding time for an individual anaesthetist is under ten minutes, with no setup fee. Group and enterprise implementations involve configuration, provider setup and data preparation, and are scoped during discovery.

Are there setup fees?

There are no setup fees for the standard platform. Group and enterprise implementations involve configuration and data migration, and any associated cost is set out in the proposal following discovery.

07

Patients

Why might a final anaesthetic account differ from the estimate?

An anaesthetic fee depends in part on how long the procedure takes and on what is clinically required on the day. An estimate is prepared on the information available beforehand, so the final account can differ if the procedure is longer or more complex than expected. The estimate explains this at the time it is issued.
